Yes.

QHow many samples per formula can I receive?
A

We offer three samples per submission. If you need more, let us know in the Comments section when you submit your ODM request.

QMany parts of my development request are undecided. How should I proceed?
A

Minor details like fragrance or low-concentration hero ingredients can be changed later. However, changing key active ingredients or major formulation details after sample submission will significantly increase development lead time. We highly recommend you to map out as much detail as possible prior to development request.

    First Sample Evaluation

    Kindly test the sample sent by COSMAX. If any improvement is needed, you can request a second round of sample submission. If the first submission is satisfactory, we can move on to formula approval.

As your concept been finalized?
Now, time to turn your idea into an actual product!

Usually, Step 2 takes about 12 weeks after formulation approval. However, some developments take 3 months or more.

    Formulation Lock

    Approve your final formula specifications by thoroughly reviewing your checklist of requirements, which may include SENSORY, ingredients, actives, and fragrance.

    Ingredient List Confirmation

    Check Cosmax's ingredient list for the approved formula.

    Standard Formula Confirmation

    The standard formula sample, formulated according to your approved formula specifications, will be sent. Kindly confirm any discrepancies between the final approved sample submission and the final standard sample.

    Stability and Microbiology Tests

    The product will undergo a strict stability test to ensure product safety.

    Active Claims

    The primary legal entity responsible for reporting to the K-FDA is the brand, not COSMAX. COSMAX can support the brand with necessary documentation if needed.

    Additional reports to K-FDA is required if the product claims active ingredients.

    Clinical Trials

    You can also select your method, type, and time for clinical tests. Additional costs may incur.

    Additional clinical tests may be required in order to claim your desired features.

    Packaging Development

    We offer two methods of packaging procurement. COSMAX can act as a turn-key, full-buyer for packaging procurement- with this method COSMAX will be responsible for providing packaging options to you and payment to the supplier. Or the client can procure their own packaging (including payment to the designated supplier) and provide the packaging to COSMAX.

    A Packaging compatible with the confirmed formulation will be used for development.

    Packaging Confirmation

    Confirm the final packaging specification including printing options.

    Compatibility Test

    We test if the chosen packaging is compatible with the formula without any leakage or chemical reactions.

    Label claims review

    COSMAX will review the overall texts included in the primary packaging, labels, cartons etc. with the exception of in/out box.

    When the client provides final claims including the ingredient list, COSMAX will review them for any potential FDA guideline breach.

    Artwork Confirmation

    Regardless of packaging procurement method, product artwork including brand logos needs to be provided by the client to COSMAX. If you need any help with regards to the development of artwork, we provide separate service under OBM section in COSMAX PLUS.

    Confirm the final product design including artwork for labels and packing materials. Only after the artwork finalization can COSMAX proceed with preparation of final packaging production.

    Packing method confirmation

    When the packing specifications are finalized, a unique product code will be created to specify the BOM. For the case the packaging has been procured by the client.

    Give final confirmation of the BOM, how the product will be packed.

Now that the product is finalized in terms of production specifications,
COSMAX will provide a standard supply agreement to the client.

FAQ

QDo I have to wait until product spec finalization to initiate contract negotiation?
A

At any point of product development, we can begin the contract negotiation. However, it would have to be finalized before the PO issue.

QWhat affects the quotation?
A

There are many components affecting the quotation, but mainly the raw material (formula) specification, initial and annual order quantity and packaging type will affect the quotation.

QHow do you measure order quantity?
A

Order quantity refers to the total number of products manufactured in the first single order, not the annual sum. Please note the COSMAX does NOT provide partial shipping- once your order has been manufactured we will ship them out together.

    Quotations

    Once the client confirms key elements for the quotation - final sample number, size, order quantity, packaging type including packing type - COSMAX will provide quotations, then the negotiations would ensue.

    Contract

    COSMAX and the client sign the finalized supply agreement.

    When proceeding with a non-COSMAX standard template, additional time for legal review will incur.

Prior to production,
Purchase orders will be the first step for production preparation.

Once COSMAX receives the Purchase Order, we will place an order for the necessary raw materials and packaging.

QHow do I send you the PO?

You can send it through e-mail to your designated sales personnel.

QHow do I send you the packaging if I am to procure them?
A

If client procured the packaging, it needs to be delivered directly to COSMAX's production site.

    Purchase Order

    Once we receive your order, we will order raw materials to prepare for full production. Orders are accepted only when product specifications are finalized. If you cancel your order, you will be charged a compensatory disposal fee for the raw materials.

    Raw material, Packaging Ship In

    Materials necessary for your product's manufacturing will be safely delivered to COSMAX's production site.

FAQ

QCan I skip the 1st batch production and manufacture all my products at once?
A

Yes, it is possible. Also, depending on the client's first order quantity and product size, your total order quantity could only require a single batch production which in turn, would naturally remove the partial raw material manufacturing/confirmation process described above.

QWhy do I need to confirm the 1st bulk baseline product?
A

There always is a minor difference between samples formulated by a chemist in our lab and actual product manufactured by semi-automated mass production equipment. This is not a sampling error, there usually is a minor gap coming from the different methods of production (mass production vs lab). COSMAX has standardized the bulk confirmation process to assure the client on this point.

    Mock production *

    When requested, COSMAX can provide mock production prior to actual production. A mock production allows potential production issues to be checked before actual production. Especially to check whether the mass produced formulation is within the acceptable quality range compared to the previously confirmed sample formulation.

    Additional cost will be charged as mock production is not included in our standard process.

    1st batch bulk production

    When skipping the mock production step, rather than manufacturing the whole batch(order quantity) at the same time, COSMAX will partially manufacture the bulk with the minimum batch size available and halt production temporarily

    1st bulk confirmation

    COSMAX will deliver the bulk baseline product manufactured by the 1st (minimum) batch production for the client to confirm. This is to make sure that final product specs from mass production line are in alignment with the previously-confirmed baseline sample formulated by our lab.

    Standard production

    Once the bulk baseline is confirmed, the rest of the orders will be manufactured.

  5. 05

    Filling & Assembly

    After the manufactured bulk passes the micro test, final filling & assembly work begins.

Products will be thoroughly inspected for final ship out.

COSMAX will inspect for any potential defect through our QC process, then safely deliver the products to the client's designated warehouse.

    To provide the best quality products, product that completed the production will be greenlighted only after passing the final micro test.
